Refunds and cancellations

Scope of this policy

This policy applies to professional engagement fees for intercompany transaction audits, related-party balance reviews, and management charge support reviews commissioned from Clouddatasynccom. It does not cover physical products, software licences, or subscription plans, which we do not sell.

Deposit

A deposit of 40% is payable on acceptance of the scope letter. The deposit reserves fieldwork capacity for the agreed window.

Full refund eligibility

A full refund of amounts paid is available if:

• We cancel the engagement for reasons within our control before fieldwork begins, or
• You withdraw in writing within three business days of accepting the scope letter and we have not yet started document review or fieldwork

Partial refunds

If you cancel after fieldwork or document review has started, we invoice for work completed at our hourly equivalent rates stated in the scope letter, capped at the total engagement fee. Any unused deposit balance after that calculation is refunded. If work completed exceeds the deposit, you remain liable for the difference.

Non-refundable items

• Fees for completed findings letters already delivered
• Third-party costs expressly agreed in writing (for example, certified document retrieval) once incurred
• Time already spent on draft findings discussion meetings that you attended

Timeframe to request a refund

Refund requests must be sent in writing to info@clouddatasynccom.digital within 14 days of the cancellation notice or of the event giving rise to the request.

Process

1. Email info@clouddatasynccom.digital with your scope letter reference and reason
2. We confirm work completed and calculate any balance within ten business days
3. Approved refunds are paid by bank transfer to the original payer account

Processing time and method

Refunds are typically processed within 14 business days after approval. We refund by the same method used for payment where practicable; otherwise by HKD bank transfer to a Hong Kong account you nominate in writing.

Cancellation and rescheduling

You may reschedule fieldwork once without charge if you give at least ten business days’ notice and a new window within 60 days is mutually available. Shorter notice may incur a rescheduling fee of up to 10% of the engagement fee to cover team reallocation.

No-shows

If agreed on-site days are missed without notice and we cannot reassign the team, that day’s allocated time may be charged as work completed.

Work already started

Once document review or fieldwork begins, cancellations follow the partial refund rules above. Delivered draft materials remain subject to our terms on intellectual property.

Exceptions

If a scope letter states different cancellation terms for a specific engagement, that letter prevails for that engagement only.
